Tips:

  • Buffets vary by caterer, but typically are less expensive than full-service plated meals.
  • Guests typically choose from two to three meal options prior to the wedding day for served meals.
  • Some caterers can set up stations, from meats to desserts, to allow guests more freedom to choose what they want.
  • Many caterers include a gratuity in their contract to be divided up among the workers, but be sure to ask.
  • If time is of no constraint, served meals provide more emphasis on the mealtime.

EXPERT Q&A WITH KENT LARSEN

Kent Larsen is the managing partner and chef at Chef’s Table Catering, which operates out of the Sanctuary Events Center. Larsen has been cooking for 16 years and since last summer, has learned a lot when it comes to the catering business. With Chef’s Table Catering, you’re able to choose from a unique assortment of menu items but if you don’t see something you like, Larsen said you’re able to work with the company to come up with custom menu items for your big day. Here’s a few more of his tips for booking a wedding caterer.

What is a typical mistake that people make when working with caterers or placing orders?

“Rushing the decision and worrying too much about whether or not their selections will make everyone happy. The bride and groom should focus on food that they truly enjoy, or has personal significance to them. Ask a lot of questions and don’t assume anything. As a caterer, we understand that you haven’t done this before, but we have. Ask for our advice and recommendations, because we are happy to answer.”

How do you recommend a couple goes about budgeting for catering? Is there anything that can accidentally cause rates to go up?

“You should always start with a total budget that you are comfortable with, or a amount per guest that you are looking to spend. Don’t forget to factor in sales tax, gratuity or any additional fees that your caterer may charge.

Leave yourself some breathing room in case your guest attendance ends up higher than you anticipated. Ask your caterer to give you an estimate that is for the total number of invitations to be sent out, and work it down from there. Then you will know the highest that your bill could be and avoid surprises as you get closer to the big day. Don’t be afraid to ask for multiple estimates, either.”

What are the benefits of a plated meal versus a buffet?

A plated meal has a chef doing the presentation, while a buffet is going to be your guests serving themselves. A buffet can look very nice at the beginning, but after guests begin to go through, it starts to get a little messy. A plated dinner will often times cost less per guest than a buffet, as the caterer has portion control for each guest. A plated dinner that offers multiple choices for the guests is a bit of extra work for the couple. Entree selections on RSVP’s must be tallied and relayed to the caterer. Different catering companies have different ways of handling this, so ask how they would like you to proceed, or if they have any tips for composing your invitations. A buffet can be an easier way to offer multiple selections to guests without all the extra work of keeping track of who asked for what. Either choice has its pros and cons, it’s just a matter of which option works better for your choices and guests.

Is there anything that couples show know about venues before booking a caterer?

“Book your venue first. Ask them who their approved caterers are. The venue has more than likely worked with several different caterers and they will recommend one that they feel has done a consistently good job for their clients in the past. If the venue offers only one caterer (or does it themselves), a tasting or a sit down meeting with the chef would be a good idea to get a better understanding of the food that will be available.”

What should the bride and groom have prepared/planned already before booking a caterer? Is there any information they should know before working with a caterer?

“You should always look at the catering menu before committing to a caterer. Make sure that they are able to do the type of dinner that you are interested in. If you don’t see what you are looking for, ask. More often than not, a good catering chef will work with you on options that are not listed on their menu. If you have guests with specific dietary requirements, ask if they are familiar with vegan, vegetarian or gluten-free options. Have an idea of the number of guests that you will be inviting. Consider what services you are looking for the caterer to provide, and make a list of questions to ask when you meet with them.”

Are there any steps that should be taken on the day of the wedding to ensure a smooth process with catering/ serving/overall meal?

“It is always a good idea to reconfirm your timeline with the caterers, venue staff and your DJ. Make sure that everyone is on the same page as to what time things are happening. Introduce your family members to the caterer if they haven’t already met. If you are having a host couple dismissing tables for a buffet, they should meet the caterer as well to run through how everything is going to work.”

Tips:

  • Communicate with your photographer. Make sure to clarify exactly what style of photos you want and discuss what’s feasible.
  • Trends come and go. Don’t pick your photos off of trendiness. This ensure you’ll like them 30 years from now.
  • Make sure your photographer brings a second shooter to the wedding.
  • Establish a backup plan with your photographer in case they aren’t able to attend your wedding.
  • Communicate with your photographer. Make sure they know how early they should arrive, when they can leave and what you want photographed. This allows the photographer to capture every moment of your wedding — from the bride and groom getting ready to the last dance of the night.

Dan Francis is a Certified Master Professional Photographer who also spent eight years teaching photography courses at a local college. He’s earned international photographer of the year through Professional Photographers of America and owns and operates his business out of a 1925 historic building in Downtown Fargo.

What are some trends that you’re noticing in wedding photography lately?

“What I see trending the most is candid storytelling, such as low contrast black and white and wedding hashtags. However, love and emotion will never be a trend. Classic, timeless, well-posed portraits will never be a trend. Trends come and go and trends gave us spot color (shutter), so don’t worry about the trends. First, have your photographer capture that love and emotion and then worry about the trends.”

What should someone look for in a wedding photographer?

“A photographer has a significant presence at your wedding. You can spend up to six to 10 hours with the photographer on your important day, so you need to make sure you connect with their personality. That means you need to meet and interview them, because you can’t tell personality by a photographer’s images. Once you think the personality connects with you, ask how many weddings they’ve photographed under their business because experience is important. Since I am a certified professional photographer, I put education first into my business and I show that education in my images.”

What techniques do you think you specialize in that set you apart from other photographers?

“I set my work apart by using a creative artistic approach. I use my knowledge of natural and artificial light. For example, last summer I photographed a wedding that had fireworks at twilight. The people who were firing off the fireworks wanted it to be totally dark out, but I told them twilight would create a much better image for the couple.

My knowledge of visualizing and using strobes on location with storytelling helped create the bride and groom’s fairy tale wedding image. Lighting and storytelling are two important features in the photographs that I try to create for my clients”

What should a bride and groom discuss with a photographer during the wedding planning process?

“The timeline is an important step that I discuss with my clients. We might be the photographers, but we are also sometimes the wedding planner, organizer and/or therapist. Photographers need to make sure the day goes smoothly so that images are taken when family members were told they would start. Even having the wedding day planned down to every 30 minutes can help keep everybody on schedule and know when everybody needs to arrive or be ready to get photographed. Besides the timeline, discussing any locations the bride and groom want to go for photographs after the ceremony is important so that time is used wisely before the reception arrival.”

What are some tips for couples to know in order to make photography a smooth process on the big day?

“Besides sharing the timeline with the relevant people, be open to ideas that the photographer has. You went with your photographer for their vision and experience. Also, knowing they have an experienced second shooter will reassure the couple that they are in good hands with two professionals and that they are going to get some amazing images.”

Tips:

  • You’ll need at least six to eight months to get your gown, and that’s if you go with a simple dress. Custom gowns take six to eight months to tailor on average, and heavily-embellished ones can take up to a year.
  • Once you’ve found your gown, give yourself at least eight weeks to make alterations.
  • When selecting bridesmaids’ dresses, make sure to put their figures into consideration. Not everyone will feel comfortable in a strapless.

Tips:

  • Book early, because some transportation companies take reservations up to a year and a half.
  • If you’re hosting a lot of out-of-towners, consider providing them with a ride from their hotel to the wedding and back.
